The Challenge
KAJIMA has been actively promoting digital transformation within the company. However, many of the documents submitted at construction sites are still provided in non-digital formats, such as PDFs or even paper. Since it is difficult to change external stakeholders’ submission rules, this has posed a significant challenge to improving our operational efficiency.
In many cases, KAJIMA cannot standardize the format of incoming documents, which often requires advanced domain expertise to interpret correctly. This makes the task unsuitable for general staff or junior personnel. To prevent human errors, we have implemented a double-check process. However, when performed manually, this simply doubles the time required for verification, further impacting productivity.
The Solution and Why CONXAI?
KAJIMA selected CONXAI because its system is not constrained by fixed specifications like traditional off-the-shelf software. This flexibility allowed CONXAI to adapt effectively to various scenarios, which was highly valued.
During the proof-of-concept (POC), CONXAI successfully extracted information from multiple documents and significantly streamlined the document reconciliation process. This included handling mathematical calculations, such as comparing aggregated quantity values with extracted data, as part of the consistency checks.
This task had previously been performed manually and required a significant amount of time. It involved extracting specific information from three different categories of documents, each with over 50 layout variations and often containing all three Japanese writing systems - sometimes within a single document. Despite this complexity, the business logic was successfully formalized into rules, and the system was required to return summaries highlighting any missing information or discrepancies.
CONXAI’s platform automated this process with high reliability, delivering an immediate 50% reduction in processing time. Its unique no-code AI interface also enabled project teams to quickly adapt the system to new project requirements.
